Reserve your ride.

We collect information you provide directly, including your name, email address, phone number, pickup and drop-off locations, travel date and time, passenger and luggage counts, flight number, vehicle preference, notes, special requests, and the contents of messages you send us. Please avoid placing highly sensitive information in the notes field unless it is necessary for safe transportation.

We may also receive limited technical information automatically from our website hosting and security providers, such as IP address, browser or device type, request time, referring page, and security or error logs. We receive information from you through the website form, email, telephone, text message, WhatsApp when you choose to use it, and other communications relating to a requested or confirmed ride.

We use personal information to respond to inquiries; prepare and deliver quotes; confirm and coordinate transportation; communicate pickup instructions, service changes, and customer support; match passenger and luggage needs to an appropriate vehicle class; maintain business and service records; prevent spam, fraud, or misuse; protect customers, chauffeurs, vehicles, and the website; comply with legal, tax, insurance, licensing, and regulatory obligations; and establish or defend legal claims. We do not use information collected through the ride-request form for unrelated advertising profiles.

We disclose information only as reasonably necessary for the purposes described above. Current providers include Cloudflare for website delivery and security, Google Workspace and Google Apps Script for receiving and managing ride-request emails, Google Maps Platform for address selection and route calculation, Stripe for secure payment processing, Google Ads for limited cookieless conversion measurement, and Google Analytics for optional website analytics after a visitor allows analytics. Payment card details are entered on Stripe-hosted Checkout; Gate & Mile does not receive or store complete card numbers. When disclosed during Checkout, Stripe may securely retain a payment method so a customer can later choose an optional post-trip gratuity without re-entering card details. Gate & Mile records the selected tip amount and Stripe payment reference with the completed order, but does not receive the complete card number. If you choose a WhatsApp link, your communication is handled through WhatsApp and Meta under their own privacy terms.

For a confirmed ride, relevant trip and contact details may be provided to the assigned chauffeur, an affiliated licensed transportation provider when disclosed as part of fulfilling the reservation, airport personnel when required, or professional advisers and authorities when reasonably necessary to comply with law or protect legal and safety interests. We may disclose information in connection with a business reorganization or transfer, subject to appropriate confidentiality protections. We do not sell personal information or share it for cross-context behavioral advertising.

We retain information only for as long as reasonably necessary for the request or confirmed service, customer support, recordkeeping, tax, insurance, licensing, dispute, fraud-prevention, and legal purposes described in this policy. The retention period depends on whether a request becomes a confirmed ride, whether payment or a dispute is involved, and the period required by applicable law. When information is no longer reasonably needed, we take steps to delete it or make it non-identifying.

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. However, no website, email system, or electronic transmission can be guaranteed completely secure. Do not send payment card numbers, account passwords, Social Security numbers, or government identification numbers through the ride-request notes field.

Depending on applicable law and subject to exceptions, California residents may have rights to know or access personal information, request deletion, correct inaccurate information, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive equal service and pricing when exercising privacy rights. Gate & Mile does not sell personal information or share it for cross-context behavioral advertising.

To submit a request, email reservations@gateandmile.com with the subject “Privacy Request” or call (626) 898-6999. We may request information reasonably necessary to verify your identity and locate relevant records. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct identity verification. We will not discriminate against you for exercising an applicable privacy right.

Under Essentials only, the Google tag runs in Consent Mode for limited Google Ads measurement. Advertising storage, advertising user data, advertising personalization, and Google signals remain denied, and ads-data redaction remains enabled. Google does not read or write advertising cookies through this implementation. Cookieless consent and conversion pings may communicate limited technical information supplied by the browser, consent status, whether a quote request, completed payment, or qualified website-call conversion occurred, conversion value and currency, and an internal non-contact transaction identifier. Advertising click identifiers are redacted from Google Ads requests. Google Analytics is optional: its property is not configured and analytics events are not sent unless you select “Allow Analytics,” which permits analytics storage for page visits and site interactions. We do not send ride-request form values, names, telephone numbers, email addresses, or trip locations to Google. Campaign parameters and advertising click identifiers in the landing-page URL may be retained for the current browsing session and included directly with a submitted quote or payment record so we can identify its source. You can reopen Analytics Settings in the website footer at any time. Hosting and security providers may still use essential technical mechanisms or process connection information to deliver and protect the site. Links to WhatsApp, email, telephone services, or other third-party sites are governed by those providers' own privacy practices.

This website is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through the website. A parent or guardian arranging transportation involving a minor should submit the request and provide only the information reasonably necessary for the service.

We may update this Privacy Policy to reflect changes in our services, providers, technology, or legal obligations. Material changes will be posted on this page with a revised effective date before they apply to future collection.
